BAM PTA 2011-2012 Executive Board and Job Descriptions
Following is the list of PTA officers elected for the 2011-12 school year. Feel free to contact any of them with questions, concerns, or comments. You can also contact the whole PTA Executive Board at ptaexec@bampta.org.
The Secretary keeps accurate records of minutes at Executive Board (for distribution to Executive Board) and General Meeting (for distribution on BAMNet and PTA website and posting by office bulletin board with highlights/summary in newsletter) with special attention to motions (recorded exactly as stated) and action taken. Distributes food/drink sign-up at first general meeting and contacts food/drink volunteers before each general meeting to remind. Confirms child care arrangements. Sets out paper supplies for general PTA dinner meetings (restocks as needed). Maintains PTA membership list. Has on hand at all meetings: minutes of previous meeting, copies of previous treasurer's report, list of unfinished business to be discussed, agenda, current bylaws, current membership list, list of committee chairs, materials for note/minute taking. Assists as needed with maintaining general PTA correspondence. The records of the proceedings of association meetings maintained by the secretary document the history of the PTA.
Teacher Representative: Adam Weis
The Teacher Representative serves as liaison with BAM staff/administration. Updates staff/administration on activities being pursued by PTA. Encourages staff attendance at PTA meetings and staff utilization of PTA programs benefiting classrooms.
Treasurer: Sue Danne
The Treasurer chairs the budget committee and prepares an annual budget for approval by the Membership. Writes checks (obtaining two authorized signatures on every check). Prepares and submits taxes. Ensures PTA's financial records are reviewed according to the bylaws. Collects all money from persons delegated to collect or to raise funds during program activities and provides a written receipt for those funds. Deposits all money in the name of the BAM PTA in a bank account approved by the board. Maintains an accurate record of all receipts and disbursements. Remits, by check, all authorized bills and statements as proscribed in the bylaws. Submits a written financial statement at each Executive Board and each general meeting. Reports income and expenses as compared with budget. Prepares an annual report to be used to review PTA financial records. Reconciles monthly bank statements immediately upon receiving them. Keeps federal Employer Identification Number (EIN) on record.
Vice President for African American Affairs: Kevin Hawkins
The Vice President for African American Affairs oversees a range of African American Affairs programs and efforts. Sets goals, action steps, timelines and evaluation for each activity. Coordinates communications related to activities and receives Executive Board or general PTA approval as needed. Works in partnership with volunteer coordinator(s) to define areas of need and to manage, recruit, train, support volunteers who are helping with these programs. Confirms programs that warrant being maintained and explores new programs. Serves as primary point of contact for issues related to African American Affairs. Works to engage African American families in BAM events and activities with the goal of building a stronger BAM community and strengthening academic achievement.
Vice President for Classroom & Teacher Support: Teresa Provenzano
The Vice President for School & Classroom Support oversees a range of school/classroom support programs and efforts. Coordinates communications related to activities and receives Executive Board or general PTA approval as needed. Works in partnership with volunteer coordinator(s) to define areas of need and to manage, recruit, train and support volunteers who are helping with these programs. Confirms programs that warrant being maintained and explores new programs. Serves as primary PTA point of contact for issues related to school/classroom support, including after school classes, Build BAM, field trips, classroom volunteers, culinary arts and nutrition, emergency preparedness, front hall display, gardening, classroom grants, Kindergarten registration, library volunteers, lunchtime issues and volunteers, music committee (BUSD) liaison, picture day volunteers, recycling, room parents, spring testing volunteers, teacher appreciation lunches and outside volunteers.
Vice President for Outreach/Communications: Riti Dhesi
Oversees range of outreach/communications programs and efforts. Sets goals, action steps, timelines and evaluations for each activity. Coordinates communications related to activities and receives Executive Board or general PTA approval as needed. Works in partnership with volunteer coordinator(s) to define areas of need and to manage, recruit, train and support volunteers who are helping with these programs. Confirms that programs warrant being maintained and explore new programs. Serves as primary PTA point of contact for issues related to outreach and communications, including the directory, BAMNet email discussion group, weekly newsletter, and www.bampta.org website. Works with webmaster to update website weekly with Friday newsletter, calendar items, etc. Works to increase PTA meeting attendance and BAMNet and BAMAnnouncements use. Prominently displays "this week at BAM" (i.e., any weekly news/updates) at pick-up and drop off point. Establishes rotating PTA Executive Board attendance at meetings of (1) School Governance Team, (2) Berkeley-wide PTA Council, (3) Arts Committee, and (4) other committees/boards as deemed critical by the Executive Board. In conjunction with president, posts (on BAMNet and perhaps newsletter) a call for agenda two weeks before PTA meetings, and posts agenda and meeting reminders on BAMNet (and perhaps BAMAnnouncements) /hallways/etc. ideally the Monday before the meeting.
Vice President for Fundraising: Nisha Anand
The Vice President for Fundraising oversees a range of fundraising programs and efforts. Sets goals, action steps, timelines and evaluations for each activity. Coordinates communications related to activities and receives Executive Board or general PTA approval as needed. Works in partnership with volunteer coordinator(s) to define areas of need and to manage, recruit, train and support volunteers who are helping with these programs. Confirms programs that warrant being maintained and explores new programs. Serves as primary PTA point of contact for issues related to fundraising, including BAM Jam and Silent Auction, Brick and Tile Sales, Gift Wrap, Annual Individual Giving Campaign, Oakland A's, Scrip/EScrip, T-shirt Sales, School-wide Grant Writing, Directory donations, and PTA dues. Attend monthly giving campaign meetings. Define fundraising goals as reflected in PTA budget.
Vice President for Health/Wellness: Sara Linvill
Oversees a range of health/wellness programs and efforts. Sets goals, action steps, timelines and evaluation for each activity. Coordinates communications related to activities and receives Executive Board or general PTA approval as needed. Works in partnership with volunteer coordinator(s) to define areas of need and to manage, recruit, train, support volunteers who are helping with these programs. Confirms that programs warrant being maintained and explore new programs. Serves as primary PTA point of contact for issues related to health/wellness, including providing range of appealing lunch recess activities, scheduling timing of volunteers with regular staff, monitoring lunch recess supplies/equipment, working with staff providing physical education programs (utilizing PE/sports budget as available), providing lunch recess conflicts resolution oversight and serving as liaison with mental health services and Universal Learning Support Services (ULSS) staff, and coordinating programs to provide clean, functional facilities.
Vice President for Community Building & Events: Kate Elder
The Vice President for Community Building & Events oversees a range of community building/events programs and efforts. Sets goals, action steps, timelines and evaluation for each activity. Coordinates communications related to activities and receives Executive Board or general PTA approval as needed. Works in partnership with volunteer coordinator(s) to define areas of need and to manage, recruit, train, support volunteers who are helping with these programs. Confirms programs that warrant being maintained and explores new programs. Serves as primary PTA point of contact for issues related to community building/events, including Information Nights, Hospitality, Kindergarten Fairs, Job Coordination (for BAM Parents), Liaison to Local Businesses, Liaison to PTA Council, Liaison to School Governance Team, Liaison to Arts Committee, Liaison to Teachers, Liaison to UC Berkeley, Parent Education, Performance/ Stagehand Coordination, Teacher Appreciation Lunches, First Day of School Coffee (August), Back to School Night (September), Multicultural Potluck (October), BAM Jam (March), Poetry Reading (April), Book Fair (May), Welcome Event for Incoming Families (June), Picnic at Lake Anza (June), Teacher and Staff Appreciation Day (June), and Graduation (June), tours (Fall)
Vice President for Asian Affairs: Carol Loo
Oversee range of Asian Affairs programs and efforts. Set goals, action steps, timelines and evaluation for each activity. Coordinate communications related to activities and receive Executive Board or general PTA approval as needed. Work in partnership with volunteer coordinator(s) to define areas of need and to manage, recruit, train, support volunteers who are helping with these programs. Confirm programs warrant being maintained and explore new programs. Serve as primary point of contact for issues related to Asian Affairs. Work to engage Asian families in BAM events and activities with the goal of building a stronger BAM community and strengthening academic achievement.
Vice President for Latino Affairs: Joel Chala
Oversees a range of Latino Affairs programs and efforts. Sets goals, action steps, timelines and evaluation for each activity. Coordinates communications related to activities and receives Executive Board or general PTA approval as needed. Works in partnership with volunteer coordinator(s) to define areas of need and manages, recruits, trains and supports volunteers who are helping with these programs. Confirms that programs warrant being maintained and explores new programs. Serves as primary point of contact for issues related to Latino Affairs. Works to engage Latino families in BAM events and activities with the goal of building a stronger BAM community and strengthening academic achievement.

PTA Executive Board members attend one Executive Board meeting monthly and one general meeting monthly, as well as rotating liaison-function meetings as assigned.
Executive Vice-President:
Represents the president in his absence and assumes temporarily the place of the president as needed. Is familiar with the president's duties and responsibilities. In the event of the president's resignation, assumes all duties until the president's position is filled in accordance with the bylaws. Shares duties with president as described above.
Parliamentarian:
Ensures that orderly meetings are conducted by following parliamentary procedure and rules of order (resource: www.robertsrules.com). Updates local, state, and national bylaws, and provides each Executive Board member with a copy of current bylaws. Supports the president in maintenance of procedures book (see "President" section above), especially with regard to maintaining updated bylaws and standing rules (i.e., specific details outlining procedures of BAM PTA that are not included in, and may not conflict with, the bylaws).
Auditor:
An internal audit shall be performed by an impartial person not related by blood or marriage or residing in the same household of the president or financial officer. The purpose of an audit is to determine the accuracy of the books and records of the financial officers; detect and recommend correction of errors; protect the financial officers and relieve them of responsibility except in case of fraud; verify funds have been transferred through channels; assure the membership that the association's resources and funds are being managed in a businesslike manner within the regulations established for their use.
Financial Secretary:
Cosigns checks. Assists Treasurer with regular financial duties, including keeping separate book of deposit records. Serves on Budget Committee. Other financial duties as needed as determined by Treasurer.
